Event Day Setup Guide
Event Day can be busy, but with Admittee it’s simple to stay organized.
Follow the steps below for details — or download the Event Day Checklist for a simple one-page reference you can use at your entry or concessions table.
Posters
Posters make it easy for fans to find your event and purchase tickets or concessions.
Ticket Poster
Print from Admittee: go to your event → More → Print Event Ticket Poster.
Place posters at the event entry, along walkways, and at the entry table.
This ensures anyone who hasn’t purchased a ticket yet can easily do so onsite.
Concessions Poster
Print from Admittee (event → More → Print Concessions Poster) or from the Scanner app
Place this at the concessions table so buyers know how to pay quickly and securely.
Ticket Scanning
Scanning helps organize the entrance and provides a simple way to verify tickets.
Get the scanner link
In Admittee, go to your event and click More → Copy Scanner Link.
Share this link with anyone who will be scanning tickets.
Ask volunteers to test the app before the event so they’re ready.
Set up the entry area
Open the Scanner Link for the event and test it before the event starts.
Wear something that shows you are an official scanner so fans know where to go.
Use a table or barrier at the entry so it’s clear everyone must be scanned.
Tip: Keep a Ticket Poster visible at the entry table so fans can buy a ticket onsite if needed.
Scanning tickets
Green = valid ticket → give the fan a wristband or stamp so it’s visible they’ve paid.
Red = invalid ticket → the ticket has already been used.
Concessions
Admittee makes concessions simple with cashless digital payments.
Volunteers will use the same Scanner app, but tap the “Concessions” button at the bottom.
Share the Scanner Link with anyone helping at the concessions table.
Encourage them to test it before the event.
Poster reminder
Be sure the Concessions Poster is placed at the concessions table.
This gives buyers a QR code they can scan to pay instantly, similar to Venmo.
At the concessions table:
Place the Concessions Poster where fans can see it.
Volunteer tells the buyer the total cost.
Buyer scans the poster QR code to pay.
Volunteer sees an instant notification and order number in the app.
Confirm and hand over the order. (If busy, ask the buyer for their order number, e.g. Blue 081.)
